Position Description SALARY: Starting: $19.2861/hourly Grade 8, Non-Union Position Our Mission: "Provide Exceptional Public Services to Assure a Safe, Healthy, Vibrant County for All" Our Values: Professional | Approachable | Responsive | Collaborative | Fair & Equitable Position Objective To assist with a range of office support activities for internal operations including maintaining electronic and paper files, sorting and distributing mail, tracking receipt and delivery of packages and supplies and performing a variety of data entry and clerical tasks. Essential Duties and Responsibilities These examples do not include all possible responsibilities in this position and do not limit the assignment of related duties to this classification. 1. Assists with maintaining physical and electronic filing systems, including data entry associated with the file process. 2. Performs record maintenance, including scanning and indexing documents and data entry concerning imaged documents. 3. Copies or prints files and assembles documents and/or files as required 4. Responds to inquiries from the public and partnering agencies to provide responsive public service. 5. Completes database inquiries related to incoming documents. 6. Stamps, sorts, and distributes incoming mail; collects, routes and delivers outgoing mail and performs messenger services between divisions and within the County. 7. Attends work in a regular and timely manner. 8. Performs other duties as assigned or apparent. Minimum Qualifications and Desirable Knowledge, Skills and Abilities Minimum Qualifications In order to be considered for this position, applicants must possess the following: - High School graduate or equivalent and currently enrolled in post-secondary courses in a legal, law enforcement, human services, paralegal, administrative support, business, customer service or related program OR high school graduate or equivalent and six months of volunteer or paid work experience in a legal, law enforcement, human services, paralegal, administrative support, business, customer service or related field - Must have experience using Microsoft Outlook and Word - Must possess the ability to comply with Minnesota Bureau of Criminal Apprehension security requirements Preferred Experience Beyond Minimum Qualifications: - Processing daily mail - Operating digital copiers and printers - Customer service experience in a fast-paced environment - Working with confidential materials Desirable Knowledge, Skills, and Abilities 1. Knowledge of criminal/juvenile/civil justice systems. 2. Knowledge of English grammar, punctuation, and vocabulary. 3. Knowledge of office practices, procedures, and technology. 4. Knowledge of electronic document management and mailing processes. 5. Skilled in the use of copiers, facsimile machine, and other office equipment. 6. Ability to promote positive image of the department through friendly and effective communication and customer service. 7. Ability to follow oral and written instructions. 8. Ability to work independently as well as part of a team. 9. Ability to effectively communicate verbally and in writing. Work Environment and Physical Demands The primary responsibilities for this position will be performed approximately 100% of the time indoors. May require minimal travel to offsite locations. Will have minimal exposure to health hazards and accidents; requires a low level of physical effort. All employees are required to reside within the state of Minnesota. Extent of Supervision or Guidance Provided Work is performed under the supervision of the Office Services Supervisor. Responsibility for Public Contact Frequent. Supervision of Others None. Hours of Work, Testing and Interview Dates Hours of Work This position has a flexible schedule of up to 40 hours per week between the hours of 8:00 a.m. to 4:30 p.m., Monday through Friday.
