Position Summary The Culinary department at the College of Saint Benedict invites applicants for the full-time (1.0 FTE), benefit-eligible position of Office Manager. Under the supervision of the Director of Culinary Services, this position will be primarily responsible: Manage the software systems that supports CSB Culinary Services operations; Provide training on the use of culinary technology systems; Prepare accounts receivable and payable; Manage the cash funds for Culinary Services; Complete daily, monthly and calendar year end fiscal activities; Provide support to the Director of Culinary Services and general office duties for the betterment of the Culinary department; Support the summer housing program. Responsibilities - Manage the Culinary Services computer software system, CBORD/Odyssey PCS which assigns ID cardholders their privileges and access to CSB Culinary Services. Oversees the system and maintains the database, assign privileges, answer end user questions, and manage the maintenance of equipment. (CBORD/Odyssey PCS is a Windows based system that integrates all Culinary Service cashless activities & revenue generating transactions over the colleges network) - Manages and maintains all CSB board meal plan systems data which includes the downloading of data, updating individual accounts, prorating charges, monthly billing charges and closing of accounts as necessary. (CBORD/HMS) - Manages the point-of-sale system, MICROS®, which interfaces with Odyssey PCS, in all Dining locations at CSB/SJU. Provides support for PC hardware and software, maintains network systems, and troubleshoots network problems, terminal troubleshooting, system configuration, reports, and management of the MICROS® system. Provide cashier training to the student cashiers and support staff. - Responsible for the reconciliation and management of the cash funds for Culinary Services. - Oversee the time clock and scheduling system software. Coordinates the timecard approval process and submits timecards to payroll bi-monthly. - Complete accounts receivable, billing activities and submittal of journal entries for the departments of Good 2 Go, Gorecki Dining Center, and McGlynn’s to support the monthly and calendar year-end fiscal activities and reports as required for the Culinary department and CSB Business office. - Responsible for preparing reports that supports the needs of the Director of Culinary Services for the success of the Culinary Department. - Track and execute license renewals for the operations of Culinary Services. - Maintains the Culinary Services websites. - Assist with office functions including answering phones, walk-ins, orders office supplies, processes check requests, P-Card transactions, create meal plan brochures & signage and various department tasks. - Oversee office student worker(s) - Support summer housing programming by working with customers’ rooming lists, software program, billing, and visitors. - Perform other duties as assigned. Qualifications - High school graduate required. - Business or Accounting degree and/or experience preferred. - Experience or a willingness to learn Microsoft Office tools and accounting system software. - Ability to prioritize and manage multiple tasks. - Demonstrates good analytical skills and attention to detail. - Ability to learn quickly in a flexible environment with minimal direction. - Excellent oral, written and interpersonal communication skills. - Confidentiality, sound judgement, and discretion are essential in the performance of regular duties.
