The perfect position for the multi-tasker! This is a hybrid position that includes some work in records management, answering incoming calls, supply ordering and data input of Staff schedules and time sheets. General Purpose: To prepare and maintain all schedules for nursing staff, adjust daily time records for the nursing department, and to provide reports/data as needed or requested to ensure the provision of nursing services to residents/patients is in accordance with parameters set by the Director of Nursing Services and state and federal guidelines. Essential Job Functions: * Coordinate, monitor, and adjust all schedules for the nursing department to include daily, weekly, holiday, vacation, make-up, rotation schedules, et al. * Coordinate, monitor, and adjust time sheets including Medicare coding for proper reimbursement. * Coordinate and monitor the coding of labor hours. * Monitor, allocate, and otherwise maintain bonus incentive pay. * Maintain nursing department paid time off book for payroll coordinator. * Maintain current phone lists. * Prepare staffing files. * Record absence and late reports. * Prepare, distribute, and process requests for schedule changes, leaves, PTO, etc. (In conjunction with DNS, ADNS, and payroll.) * Prepare daily/weekly management reports as needed. * Provide information to DNS to assist in preparation of various budget/financial reports. * Orient new personnel to staffing/scheduling policies and procedures. * Update and prepare staffing orientation packets. * Assist staff with concerns, conflicts, and questions regarding schedules and policies. * Answer questions concerning time records/time clock and resolve related issues. * Answer nursing department personal phone calls, screen for importance and forward messages, as appropriate. * Maintain a high degree of confidentiality. * Must be adaptable, flexible to changes, and able to prioritize and organize work efficiently to accomplish workload within time allotted. * Maintains positive relationships with key stakeholders such as tenants, their families, staff, and the community. * Maintain a positive attitude in relation to customer service program. * Complies with established safety rules and regulations. * Abides by the facility’s policies, procedures and practices. * Participates in and supports Quality efforts throughout the facility. * Attends meetings and mandatory in-services. * Knowledge and adherence to safety/disaster preparedness plan. * All other duties as needed. Qualifications: * High school graduate or equivalent. * Must have experience in scheduling and coordination tasks. * Must have a minimum of two years of experience in an office environment. * Must have the ability to read, write, and follow oral and written directions at a level necessary to accomplish the job. * Exceptional telephone and communication skills and the desire to work closely with senior adults is essential. * Must be able to relate professionally, positively, and cooperatively with residents, resident’s families and employees. * Must have advanced knowledge of computer systems, including e-mail use. * Must be capable to maintaining regular attendance. * Must be compassionate toward the elderly, work with tact and ethical awareness, and ensure personal resident information is kept confidential. * Clear understanding that all injuries/accidents must be reported to a supervisor immediately. * Must meet all local health regulations and pass post-employment physical exam if required. This requirement also includes drug screening, criminal background investigation, and reference inquiry. * Must be capable of performing the Essential Job Functions of this job, with or without reasonable accommodation.
