What you will do: Provide administrative support to a team of Financial Advisors. This includes, but is not limited to: - Opening new accounts – internal and with direct partners - Processing all paperwork required for new business – very high volume - Assisting with customer requests - Maintaining existing accounts - Following up on existing business and/or situations - Documentation of all activities Handle a heavy volume of phone calls - Working with clients to update accounts - Emphasis on service and communication skills - Coverage when Advisors are not available Coordinate Product Partner lunches – rotating responsibility with other Assistants Customer Service responsibilities - Fulfilling client requests in a timely manner – 24 – 48 hours - Recognizing opportunity and referring client to Advisor - Resolving client issues in a professional manner - Escalating issues as needed Compliance responsibilities - Maintaining files to be submitted monthly for review - Complete Firm regulatory requirements annually - Acute attention to detail with regards to identification and AML procedures Mailings - Coordinate bi-monthly mailings thru Redtail and scheduling follow-up calls for Advisors What you need to have - 3+ years of experience in Customer service - 3+ years of experience with Microsoft Office applications - 1+ year of CRM experience - 1+ year of Mail Merge experience Really catch our eye with - 1+ year of experience within Redtail - Financial services industry designations or licensures such as FINRA Series 7, FINRA Series 66 and/or Life Insurance - Data management experience Top Performers share the following skills - Strong sense of prioritization - Ability to multi-task - Sensitive to client’s needs/situation - Strong organizational skills - Attention to detail - Customer service experience - Self-Motivated - Excellent verbal and written communication skills - Team Player - Problem-solving - Telephone skills a priority
