Position Summary The Institutional Advancement Department at the College of Saint Benedict (CSB) invites applicants for the full-time, benefit-eligible position of Gift Entry and Major Gifts Coordinator. As a member of the Institutional Advancement (IA) team, the Gift Entry and Major Gifts Coordinator is responsible for supporting the mission of the college by assisting the associate vice president (AVP) in the performance of her overall responsibilities, providing essential support to the work of the major and planned giving team. The College of Saint Benedict (CSB) is a liberal arts college for women located in the central lakes area of Minnesota. Responsibilities The Gift Entry and Major Gifts Coordinator has complete responsibility for accurately recording and accounting for all charitable gifts received by Institutional Advancement and for all functions pertaining to the processing of those gifts. This position demands complete accuracy in data entry and management. The Gift Entry and Major Gifts Coordinator is responsible for providing accurate information in a timely manner and is cognizant of the day-to-day flow of information into and out of the Advancement Services Office. In addition, this position provides critically important support to the Major and Planned Gifts Team (MG Team), ensuring that deadlines are met, fundraising and campaign volunteers are appropriately supported, the gift officers’ calendars are well managed, and that planned giving marketing and administration is running smoothly and efficiently. The Gift Entry and Major Gifts Coordinator plays an important role in assisting the gift officers with portfolio management and donor engagement. RESPONSIBILITIES - Under direction of the Director of Advancement Services, the Gift Entry and Major Gifts Coordinator is responsible for timely and accurately processing all gift and pledges (checks, cash, credit cards, securities, bank drafts, gifts-in-kind, matching gifts and payroll deductions) from alumnae, friends, corporations and foundations based on college policies and procedures; assisting in updating and running reports for various offices, including the daily gifts log; creating, when appropriate, maintaining donor and gift records; and using knowledge of IRS guidelines regarding charitable contributions, internal gift processing guidelines, and the college’s gift acceptance policy, accurately record gifts (including checks, cash, credit cards, securities, bank drafts, real property, matching gifts, payroll deductions, bequest expectancies, and revocable and irrevocable trusts). - Provide administrative support for the MG Team, including such tasks as: calendaring and scheduling; making travel arrangements; coordinating fundraising plans, actions, and timelines; drafting and editing of correspondence and reports; receiving visitors to the IA office; preparation for and proper recording of all call reports for development calls; and coordinating logistics and preparing materials for all meetings and donor visits the gift officers attend or lead including minutes, reports, charts, graphs, presentations and memos. - Manage the college’s planned giving administration including: Legacy Society membership and stewardship; working with third-party consultants and vendors; facilitating the work of IA staff with attorneys and other estate representatives, the donor relations officer and college administration to ensure compliance with governmental regulations and college and/or investment policies; and, working with the AVP and Senior Leadership Giving Officer, implement marketing strategies for planned gifts. - Along with the VPIA, the AVP and the MG Team, develop, propose, and support implementation strategies for solicitation of major gifts across the College including: determining ongoing relationships with prospect/donor; recommending specific purpose and level of gift; identifying those to be involved in cultivation and subsequent solicitation; supporting solicitation efforts. - Provide support as needed to the Donor Relations Officer for the implementation of personalized and large-scale stewardship and cultivation strategies, including events, that strengthen long-term relationships with high level gift prospects and donors. - Provide backup support in the absence of the Executive Assistant for Institutional Advancement. - Hire, train and supervise student workers as needed to collaborate with others and work in a team environment. - Other duties as required. Qualifications REQUIRED: - Educational requirements: high school graduate with post-secondary education; college degree preferred. - Office experience required; experience with senior-level or executive management preferred. - Strong computer experience and skills in MS Office, specifically in MS Word, MS Excel, MS Outlook and MS Teams; preferably experience with fundraising databases or customer relationship management systems. - Highly detail oriented with a critical degree of accuracy regarding data entry and analysis. - Strong project management and planning skills; the ability to effectively manage multiple changing priorities. Willingness to take the initiative and to work proactively to ensure success. - Demonstrated ability to work collaboratively within a complex environment and build positive relationships with internal and external clientele. Ability to collaborate with team members in support of the vision and in achieving team goals. - High level of integrity and the ability to maintain confidential information with tact and discretion. - Excellent communication and interpersonal relations skills, including excellent public relations skills in person and over the phone to project a positive image of the college and a commitment to providing excellent hospitality. - Ability and willingness to travel and to represent the College including evening and weekend events, as required. AFLAC SUPPLEMENTAL INSURANCE This voluntary plan offers an additional level of financial protection for you and your family in the event of a serious accident or illness. LIFE INSURANCE CSB/SJU provides a Basic Life and Accidental Death and Dismemberment (AD&D) policy to employees. This insurance is effective on the first of the month following date of hire. The amount of term insurance provided is based on your annual salary as follows: Salary Life Insurance $0-$20,000 $50,000 $20,001-$37,500 $75,000 $37,501-$50,000 $90,000 $50,001+ $100,000 Employer provided life insurance in excess of $50,000 is subject to imputed income tax (a tax on the value of the premium). You may also purchase additional life insurance in increments of one, two, three, or four times your annual salary. There is also a dependent life insurance package available. LONG-TERM DISABILITY After one year of benefit eligible employment, CSB/SJU provides disability coverage in the event of an illness or injury that prevents you from working. This plan provides a benefit that equals 60% of your basic monthly earnings to a maximum monthly benefit of $11,000. This benefit may be payable, provided the employee is unable to perform the usual and customary duties of his/her occupation. VACATION Paid vacation is accrued based upon FTE and the number of years employed. Vacation is cumulative from year to year to a maximum of 240 hours. Employees working 100% time receive the following: Years of Service Full-time annual accrual 0 to end of 2nd year 10 days beginning 3rd to end of 5th year 13 days beginning 6th to end of 10th year 16 days beginning 11th year and beyond 20 days FLEXIBLE SPENDING ACCOUNTS HEALTH SAVINGS ACCOUNT These plans allow employees to set aside part of their salary on a pretax basis to pay for IRS approved expenses. VISION PLAN This voluntary plan offers affordable vision coverage for routine eye exams, eyeglass lenses and frames, and contact lenses. Discounts on hearing exams and hearing aids are also included. TUITION REMISSION Tuition remission is an educational benefit provided by CSB/SJU. A full time employee and spouse (if applicable) are eligible for tuition free educational benefits the first full semester after six months of employment. The payment of special fees is the responsibility of the employee. Full time employees may enroll for one undergraduate course per term, which includes summer; up to a maximum of 2 courses per year. There is also a tuition remission program for dependent children of full time employees. This program provides a financial resource to a son or daughter for meeting the tuition costs of undergraduate education. Eligibility begins the fall or spring semester following 5 years (60 months) of continuous full-time employment. CSB/SJU will grant tuition remission the next full semester to the dependent, providing the dependent meets the academic requirements. There are also two consortia programs in which CSB/SJU participate where employees' children may apply for scholarships to attend other colleges/universities. PARENTAL LEAVE A paid leave (up to 15 days) will be granted to eligible employees upon the birth or adoption of a child, pro-rated based on FTE. New employees are eligible for this benefit after twelve months of employment. SICK LEAVE Full-time employees earn up to 9 days of sick leave per year, pro-rated based on FTE. Sick leave is cumulative from year to year up to a maximum of 720 hours (90 days). Employees may also use accumulated personal sick leave to care for ill family members. EMPLOYEE ASSISTANCE PROGRAM The Employee Assistance Program (EAP) is a free counseling resource available to all employees and immediate family members. EAP counselors can help you identify problems and concerns regarding family, marriage, emotions, alcohol or drugs, financial difficulties, legal issues and job stress. RETIREMENT Defined Contribution Plan CSB/SJU provides a retirement program for all qualified full time employees. The program is administered by Teachers Insurance and Annuity Association (TIAA). Enrollment in the retirement plan will be effective the first day of the month following the date of hire unless the employee elects to opt-out. TUITION ASSISTANCE The tuition assistance plan is an educational grant provided by CSB/SJU to a qualified son or daughter of a full time employee toward meeting the tuition costs at Saint John's Preparatory School. The dependent must meet the eligibility criteria in order to receive this grant.
