The fleet data coordinator develops and maintains GRE’s vehicle fleet asset database to ensure accurate and functional data reporting and processes are completed in a timely and efficient manner. Coordinates fleet asset and preventative maintenance schedules to ensure compliance with various regulatory agencies. Key Responsibilities: + Develops, promotes and maintains efficient and optimal cross-functional business processes necessary to ensure that GRE’s vehicle fleet asset database is current and accurate to enable asset lifecycle event documentation. + Creates preventative maintenance job plans and unscheduled emergency work orders. Generates and schedules monthly work order activity for vehicle maintenance. + Ensures new vehicle fleet assets, changes to those assets and maintenance documentation are entered into fleet database, verifies essential information is entered, scans and links documents, reviews and closes work orders. + Establishes new vehicles and drivers are entered into the system and enters work orders for new installs and repairs. + Develops and implements necessary training for GRE staff to achieve effective asset information process functionality. + Coordinate and manage the annual permitting of oversize/overweight vehicle permits. + Manages the licensing of all mobile fleet including snowmobiles and ATVs to ensure compliance with regulatory agencies. + Provides data reporting and analysis support as needed to ensure efficient and reliable exchange of information. + Create and coordinate monthly resource and preventative maintenance schedules and priority lists. + Develops and prepares various reports for equipment and fleet asset management and other information as needed. + Provide training to staff on computer software applications. + Manage the accounts payable process and work order creation for the fleet work group. Education & Experience: Minimum education requirements include an associate’s degree in business with focus on database management or business intelligence or closely related education with strong relational database and spreadsheet experience required. Continuing growth of knowledge in the assigned area of responsibility by continuing education and by attending seminars, conferences, meetings, etc. is required. Knowledge, Skills, & Abilities + Knowledge of relational database concepts and ability to develop reports based on relational databases. + Skill and ability to use personal computers and related software for data manipulation, processing, reporting, presentations, spreadsheets, email, and other business application needs. + Ability to interpret maintenance data, bills of material, warranty repair, registration and licensing and other related documentation to accurately track GRE’s vehicle fleet assets. + Ability to understand basic warehouse systems, processes and procedures + Ability to work in a well-organized, self-directed manner and willingness to assist others when needed. + Ability to seek out and drive new methods to improve efficiencies. + Ability to effectively communicate with individuals and groups using both verbal and written communications. + Ability to build and maintain effective work relationships and establish credibility with business partners. + Ability to work as a part of a cross-functional team to achieve project goals. + Skill in conflict resolution including the ability to address differences of opinion or fact and use the most appropriate method to reach an effective solution. + Ability to negotiate by collaborating with others to arrive at a conclusion using compromise, persuasion, rational and diplomacy.
