Position Summary The Institutional Advancement department at Saint John’s University invites applications for the full-time, benefit-eligible position of Director of Advancement Services. Under the supervision of the Associate Vice President for Institutional Advancement, this person is responsible for managing the Saint John’s University database which supports the fundraising functions of the College of Arts and Sciences, the School of Theology and Seminary, the Hill Museum and Manuscript Library, and Saint John’s Abbey. The Director of Advancement Services should have experience managing ERP and CRM systems with knowledge and technical abilities to manage complex information systems. This person must be able to meet the multiplicity of staff demands within specific deadlines. Confidentiality and discreet judgment about constituents and their relationship to Saint John’s University and Saint John’s Abbey are imperative. This position supports the creation and dissemination of a full range of reports and information to support the ongoing work of the Institutional Advancement department by ensuring that charitable gift and biographical data are entered consistently, accurately, and in compliance with college policies, IRS regulations, and industry best practices. The personal commitment to develop expertise in areas of the IRS tax code related to gifts and gift acceptance and Council for the Advancement and Support of Education (CASE) standards is critical. The person should have working knowledge of the functions related to fund-raising which include database management, gift processing, report creation, electronic donor records management, prospect research and donor relations management. An understanding of alumni, parent and corporate-foundation relations, and the nature of higher education in general, is desirable. SJU offers competitive salaries and a comprehensive benefits program Responsibilities PRIMARY RESPONSIBILITIES: - Create and generate daily, weekly, monthly, and yearly reports as needed for staff in the Institutional Advancement department as well as the Saint John’s Abbey development office. Generate customized reports using the current institution software (COGNOS) in a timely manner as requested by users with the IA department as well as other departments in the greater Saint John’s community. - Ensures that the enterprise database system (Banner Advancement/Slate) consisting of nearly 120,000 records of alumni, parents, friends, corporations, and foundations contains information which is accurate and accessible by supervising the data entry of three staff members. - Works with the development account coordinator to ensure all fundraising accounts are in balance with the accounts in the general ledger in the business office. Work closely with the business office for establishing new funds for priorities. Have a working knowledge of bookkeeping functions in regard to balancing funds. - Develops standards, protocols, and policies for all aspects of data entry into the database, manage cleanup as required, and monitor ongoing compliance. - Work with development officers and directors to identify their information needs. Participate in evaluation and planning as it relates to program planning with annual giving, major giving, planned giving, alumni relations and other programs. - Facilitates access and provides training on the University’s fundraising database (Banner Advancement/Slate) to other members of the University’s staff. - Responsible for the accuracy and daily transfer of data from the IA database into any external software programs such as Blackbaud Performance Management and iModules-the online community engagement system. - Ensures that gifts are processed, and appropriate receipts are distributed to donors for tax-deductible contributions in an accurate and timely manner by supervising the daily depositing, processing, and recording of all private contributions for the University and the Abbey. - Serve as a subject matter expert on data management, prospect research and prospect management best practices, providing training to advancement colleagues as needed. - Investigates and resolves Banner Advancement and Blackbaud Performance Management functionality related issues and provide support and troubleshooting for Advancement staff. - Work closely with the Director of Advancement Services at the College of Saint Benedict on all policies and procedures of data entry as the IA database is a shared database with the College of Saint Benedict. - Supervise Advancement Services staff which consists of the Development Account Coordinator, Information Coordinator, and Advancement Services Assistant. - Maintain the data on the electronic Military Honor Roll as well as the Volunteer Honor roll. - Serve as a member of the CRM Conversion User Group and Data standards committee. Qualifications REQUIRED: - Bachelor’s degree or higher. - Demonstrated experience managing ERP and CRM systems with knowledge and technical abilities to manage complex information systems. - Business analyst experience to work with and direct staff in systems development, report programming, systems management, network management, database application development, and personal computer hardware and software support. - Demonstrated experience supervising, training, and leading a team in a professional setting. - Proven organizational, collaborative and communication skills, both written and verbal. - Demonstrated ability to develop procedures and provide support for electronic systems use and train technical and non-technical users. - Demonstrated ability to plan and implement major systems and systems implementation projects. AFLAC SUPPLEMENTAL INSURANCE This voluntary plan offers an additional level of financial protection for you and your family in the event of a serious accident or illness. LIFE INSURANCE CSB/SJU provides a Basic Life and Accidental Death and Dismemberment (AD&D) policy to employees. This insurance is effective on the first of the month following date of hire. The amount of term insurance provided is based on your annual salary as follows: Salary Life Insurance $0-$20,000 $50,000 $20,001-$37,500 $75,000 $37,501-$50,000 $90,000 $50,001+ $100,000 Employer provided life insurance in excess of $50,000 is subject to imputed income tax (a tax on the value of the premium). You may also purchase additional life insurance in increments of one, two, three, or four times your annual salary. There is also a dependent life insurance package available. LONG-TERM DISABILITY After one year of benefit eligible employment, CSB/SJU provides disability coverage in the event of an illness or injury that prevents you from working. This plan provides a benefit that equals 60% of your basic monthly earnings to a maximum monthly benefit of $11,000. This benefit may be payable, provided the employee is unable to perform the usual and customary duties of his/her occupation. VACATION Paid vacation is accrued based upon FTE and the number of years employed. Vacation is cumulative from year to year to a maximum of 240 hours. Employees working 100% time receive the following: Vacation days per year Years employed 15 days 1-10 years 20 days 11+ years FLEXIBLE SPENDING ACCOUNTS HEALTH SAVINGS ACCOUNT These plans allow employees to set aside part of their salary on a pre?tax basis to pay for IRS approved expenses. VISION PLAN This voluntary plan offers affordable vision coverage for routine eye exams, eyeglass lenses and frames, and contact lenses. Discounts on hearing exams and hearing aids are also included. TUITION REMISSION Tuition remission is an educational benefit provided by CSB/SJU. A full time employee and spouse (if applicable) are eligible for tuition free educational benefits the first full semester after six months of employment. The payment of special fees is the responsibility of the employee. Full time employees may enroll for one undergraduate course per term, which includes summer; up to a maximum of 2 courses per year. There is also a tuition remission program for dependent children of full time employees. This program provides a financial resource to a son or daughter for meeting the tuition costs of undergraduate education. Eligibility begins the fall or spring semester following 5 years (60 months) of continuous full-time employment. CSB/SJU will grant tuition remission the next full semester to the dependent, providing the dependent meets the academic requirements. There are also two consortia programs in which CSB/SJU participate where employees' children may apply for scholarships to attend other colleges/universities. PARENTAL LEAVE A paid leave (up to 15 days) will be granted to eligible employees upon the birth or adoption of a child, pro-rated based on FTE. New employees are eligible for this benefit after twelve months of employment. SICK LEAVE Full-time employees earn up to 9 days of sick leave per year, pro-rated based on FTE. Sick leave is cumulative from year to year up to a maximum of 720 hours (90 days). Employees may also use accumulated personal sick leave to care for ill family members. RETIREMENT Defined Contribution Plan CSB/SJU provides a retirement program for all qualified full time employees. The program is administered by Teachers Insurance and Annuity Association (TIAA). Enrollment in the retirement plan will be effective the first day of the month following the date of hire unless the employee elects to opt-out. TUITION ASSISTANCE The tuition assistance plan is an educational grant provided by CSB/SJU to a qualified son or daughter of a full time employee toward meeting the tuition costs at Saint John's Preparatory School. The dependent must meet the eligibility criteria in order to receive this grant.
