Position Summary The Box Office Manager is responsible for creating a positive first point of contact for audiences and delivering excellent customer service. This position manages all daily functions of the Box Office including financial, operational and staffing procedures and is responsible for the day-to-day management of ticket sales transactions, record-keeping, and supervision of box office staff for all events occurring in Fine Arts venues at both the College of Saint Benedict and Saint John’s University. The box office manager serves the CSB/SJU Fine Arts Series, music and theater departments and other campus events to support successfully ticketed events. This position works flexible hours/days, including evenings and weekends. As a nationally recognized university presenting department, Fine Arts Programming presents 20+ touring performances, 6 exhibitions and supports 250+ academic and community activities annually across two campuses, in five theaters and two galleries. On average, 100+ events are ticketed each year. This position is a .92 FTE Responsibilities - Box Office Management Operational - Manages and supervises the Fine Arts Programming box offices at the College of Saint Benedict & Saint John’s University - Provide day-to-day oversight and management of ticketing systems, processes, resources and functions as well as customer service operations - Manages Choice ticketing and related systems (credit cards, etc), is the primary lead for all ticketing system knowledge and capabilities, recommends and implements upgrades as necessary to ensure successful and professional operations - Ensures credit card compliance working with the CSB/SJU Information Technology Services - Implements all ticketing event set-up and administration for Fine Arts Series, academic and rental events - Oversees box office sales, accounting and reporting procedures for events - Ensures compliance with ADA regulations and standards - Work in collaboration with Front of House and Technical staff at events - Ensures ticketing procedures and systems at CSB and SJU are symmetrical Customer Service - Establishes and fosters an emphasis on hospitality & customer service among box office staff - Maintains reference materials, event information and manuals for box office staff - Initiate ticketing agreements and obtain all pertinent information for academic or rental groups - Hire, train, schedule and supervise 20+ Box Office student employees - Participate in both operation and community engagement team meetings bi-weekly - Maintain and instill environment of confidentiality, professionalism and enthusiasm - Financial Management - Fiduciary responsibilities include accountability for up to $500,000 in annual ticket sales - Assure the proper accounting of all money and tickets for events - Work in partnership with the Business Office to establish, maintain and follow financial policies and procedures - Maintain cash box, ensure that cash is properly managed and reconciled - Ensure security and credit card standards are being followed when processing credit card sales - Balance computer records with online, mail and window sales; make regular deposits - Produce regular sales and final event report - Directly supervise most at door event sales or provide trained staff - Record accurate credit card transactions (phone sales, in-person sales and internet sales) and internal charges transactions in Banner Integrated Transaction System - Database & Ticket Holder Management - Works collaboratively with Fundraising & Audience Development Manager to research and generate patron data and mailing lists for fundraising and marketing purposes - Maintain accurate and consistent database and patron records - Create and distribute pre and post event emails to ticket holders with important ticket/event information - Stewardship - Works collaboratively with Fundraising & Audience Development Manager as an integral part of sponsorship stewardship to build and maintain strong relationships with series sponsors - Accurately and proactively manage complimentary sponsors tickets and VIP ticket requests - Develop and nurture audience relationships - Share insights around buying patterns and feedback from audiences with Executive Director, Director of Community Engagement and Fundraising & Audience Development Manager OTHER RESPONSIBILITIES INCLUDE: - Position is an active, collaborative and positive member of the Fine Arts Programming team, contributing to strategic and departmental planning - Participate in season planning by providing ticket historical sales data and context to help team make informed choices - Work closely with the marketing department to assist in proofing advertising materials, including the season brochure, e-newsletters, and mini-mailers Qualifications Education: College degree or demonstrated experience Knowledge, Skills, and Abilities: - A flexible schedule is a must. Hours will often be irregular and include evening and weekend work - Experience, ability, and commitment to the role of the box office in creating an inclusive and welcoming community in terms of race, gender-identity, sexual orientation, religion, ability, age, class and immigrant status - Demonstrated experience with a computerized ticketing system, preferably with a performing arts background. AFLAC SUPPLEMENTAL INSURANCE This voluntary plan offers an additional level of financial protection for you and your family in the event of a serious accident or illness. LIFE INSURANCE CSB/SJU provides a Basic Life and Accidental Death and Dismemberment (AD&D) policy to employees. This insurance is effective on the first of the month following date of hire. The amount of term insurance provided is based on your annual salary as follows: Salary Life Insurance $0-$20,000 $50,000 $20,001-$37,500 $75,000 $37,501-$50,000 $90,000 $50,001+ $100,000 Employer provided life insurance in excess of $50,000 is subject to imputed income tax (a tax on the value of the premium). You may also purchase additional life insurance in increments of one, two, three, or four times your annual salary. There is also a dependent life insurance package available. LONG-TERM DISABILITY After one year of benefit eligible employment, CSB/SJU provides disability coverage in the event of an illness or injury that prevents you from working. This plan provides a benefit that equals 60% of your basic monthly earnings to a maximum monthly benefit of $11,000. This benefit may be payable, provided the employee is unable to perform the usual and customary duties of his/her occupation. VACATION Paid vacation is accrued based upon FTE and the number of years employed. Vacation is cumulative from year to year to a maximum of 240 hours. VISION PLAN This voluntary plan offers affordable vision coverage for routine eye exams, eyeglass lenses and frames, and contact lenses. Discounts on hearing exams and hearing aids are also included. TUITION REMISSION Tuition remission is an educational benefit provided by CSB/SJU. A full time employee and spouse (if applicable) are eligible for tuition free educational benefits the first full semester after six months of employment. The payment of special fees is the responsibility of the employee. Full time employees may enroll for one undergraduate course per term, which includes summer; up to a maximum of 2 courses per year. There is also a tuition remission program for dependent children of full time employees. This program provides a financial resource to a son or daughter for meeting the tuition costs of undergraduate education. Eligibility begins the fall or spring semester following 5 years (60 months) of continuous full-time employment. CSB/SJU will grant tuition remission the next full semester to the dependent, providing the dependent meets the academic requirements. There are also two consortia programs in which CSB/SJU participate where employees' children may apply for scholarships to attend other colleges/universities. PARENTAL LEAVE A paid leave (up to 15 days) will be granted to eligible employees upon the birth or adoption of a child, pro-rated based on FTE. New employees are eligible for this benefit after twelve months of employment. SICK LEAVE Full-time employees earn up to 9 days of sick leave per year, pro-rated based on FTE. Sick leave is cumulative from year to year up to a maximum of 720 hours (90 days). Employees may also use accumulated personal sick leave to care for ill family members. EMPLOYEE ASSISTANCE PROGRAM The Employee Assistance Program (EAP) is a free counseling resource available to all employees and immediate family members. EAP counselors can help you identify problems and concerns regarding family, marriage, emotions, alcohol or drugs, financial difficulties, legal issues and job stress. RETIREMENT Defined Contribution Plan CSB/SJU provides a retirement program for all qualified full time employees. The program is administered by Teachers Insurance and Annuity Association (TIAA). Enrollment in the retirement plan will be effective the first day of the month following the date of hire unless the employee elects to opt-out. TUITION ASSISTANCE The tuition assistance plan is an educational grant provided by CSB/SJU to a qualified son or daughter of a full time employee toward meeting the tuition costs at Saint John's Preparatory School. The dependent must meet the eligibility criteria in order to receive this grant.
