The Registrar's Office at the College of Saint Benedict (CSB) and Saint John's University (SJU) invites applications for the full-time, benefit-eligible position of Academic Data Coordinator. The Academic Data Coordinator is responsible for the collection and maintenance of all registration data for both the undergraduate and graduate programs, including catalog and course registration data for both institutions for three terms. The Coordinator manages and assigns all academic classroom spaces and is responsible for study abroad registrations and other special course registrations which include internships, individual learning projects, and study abroad coursework. The Registrar's Office creates and maintains the integrity of the official academic record of student achievement for all college and university students, alums, faculty and administration. The Registrar's Office works with Academic Advising and Academic Affairs in fulfilling seamless operations for registration and graduation for CSB and SJU. Responsibilities: Compile and update all data necessary for the Official Class Schedule (three editions a year). This includes coding and verifying information provided by chairpersons and program directors, handling questions from chairs, processing all corrections and assembling the schedule for publication. This position is also responsible for entering and maintaining all course prerequisites, course restrictions, fees and details that relate to the online registration system. Assign and maintain room assignments for courses offered at CSB and SJU. This responsibility includes scheduling all courses into appropriate classroom spaces and accommodating specific needs of the faculty and students, as possible. This requires the use of a classroom scheduling software and updating the Banner student information system. Compile and update all academic information for the official Academic Catalog. This includes addition and maintenance of all course information and departmental major and minor requirements. Maintain course inventory of all college courses both current and historic in the student database, including maintaining title, credit value, grading type, FTE, common curriculum designations, valid terms, repeatability, etc. Maintain the database for all Common Curriculum and Integrations Curriculum course attributes as approved by faculty committees, including understanding two set of general education requirements and the complex tracking of these requirements. Update, add and remove faculty assignments in the student information system, including updating their course assignments each semester. Manage the entry of study abroad courses from our direct enroll partner programs. This involves adding courses with the appropriate general education designations, registration and grading. Process all registrations for Individualized Learning Projects (ILPs) and Internships, including ensuring compliance with institutional regulations. Assist students and faculty during registration and grading periods, including responding to emails and inquiries. This responsibility requires the understanding and enforcement of college/office policies and procedures that pertain to students and faculty, including a general understanding of graduation requirements, general education requirements, registration policies, etc. Coordinate registration data for all new, returning and continuing students in the Graduate School of Theology and withdrawing students who are no longer enrolled. Assist with other activities related to the operation of the office, as needed. This may also include working on a holiday and other office or institutional events..
